1. Decide what to outsource
Start small and specific: which channels (phone, email, chat), which questions, which languages and which hours. A common mistake is handing over everything at once. Start with one stream you can measure well.
2. Map your volumes
How many contacts do you get per day, per channel and per hour? Where are the peaks? With these numbers a partner can work out how many people you really need, instead of guessing.
3. Choose the right type of partner
Large call centres are strong at hundreds of seats but often ask for annual contracts and high minimums. Freelance platforms are flexible, but managing people stays with you. A managed team from a smaller partner sits in between: from one agent, with a team lead and QA. See also our comparison.
4. Define quality before you start
Agree how you measure quality: a shared scorecard, customer satisfaction, first-contact resolution and response times. Have the partner score conversations the way you would, with a weekly calibration.
5. Arrange access and privacy
Let agents work in your own systems with personal accounts, so no customer data is copied. Sign a data processing agreement and ask for confidentiality per agent.
6. Start with a pilot
A one-month pilot with one to three agents shows whether the partnership works. Review weekly and adjust the script, knowledge base and procedures.
7. Scale when it works
Does the pilot hit the agreed KPIs? Then add hours, channels or languages. Agree that you can scale up or down monthly, so you're never stuck with capacity you don't need.
